DSUK is the data controller for the personal information you provide when applying for and using our online community. This means we determine how and why your personal data is used.

The type of personal information we collect 

We currently collect and process the following information:

  • Email address
  • Name
  • Age
  • Disability status (special category data)
  • Student status

How we get the personal information and why we have it

Your email address, age, disability status and name is provided to us directly by you for the following reason:

  • You wish to be part of the Disabled Student Representative community

We may use the email address that you have given us in order to send you information about the community.

We will not share your personal data with anyone outside of this organisation. 

At any point you can leave the community and ask us to delete your data by reaching out to contact@disabledstudents.co.uk

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(f) We have a legitimate interest

We can use legitimate interests as a lawful basis for processing this information because we have a legitimate interest in seeking this information in order to fulfil our community goals, seeking this information is necessary to maintain a safe community – we will not use your data for any other reason than that which you consent to – and your legal rights and freedoms will be protected (see ‘Your Data Protection Rights’).

Article 9:

(d) Not-for-profit bodies

We can rely on this lawful basis for processing your data because:

  • We are a not-for-profit body: a Community Interest Company
  • We are processing special category data as part of our legitimate activities
  • We are only processing the data of individuals in regular contact with us for activities in connection with our purposes 
  • We have appropriate safeguards in place: we restrict access to this data, will delete data after a certain time period, and you will be able to contact us to request deletion of your data
  • We will not disclose your data to any third party

These articles and lawful bases apply due to our processing of ‘special category data’. The special category data that is relevant in this case is the inference of contributors’ disability status.

How we store your personal information 

Your information is securely stored on our Google Drive. DSUK team members who have access to the form have appropriate security measures in place. 

If you do not close your account before then, we keep your data for 3 years before asking whether you wish to continue your account. If you do not choose to continue your account we will delete your data from our systems. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
